How to stop chasing clients for tax documents

Every firm has a version of the same story. You send a client a list of the documents you need. A few trickle in. One T4 is from the wrong year. You send a reminder, then another, and somewhere along the way the work itself becomes the easy part, and collecting the paperwork becomes the job.

1. Send one list, not a thread

The single biggest source of friction is the email thread. A list buried in a paragraph gives the client no way to track what they’ve sent and what’s left. Instead, give them a single place that shows every required document and its status. When clients can see “3 of 5 received,” they finish the last two on their own.

2. Make each document its own task

“Send me your tax documents” is vague. “Upload your 2025 T4 slips here” is not. Break the request into specific items, each with a short note on exactly what you need and a dedicated place to upload it. Specific asks get specific answers, and far fewer wrong-year files.

3. Remove the account requirement

Every login, password reset and app download is a reason for a client to put it off until later. The lowest-friction path is a secure link they can open on their phone and upload to in a couple of taps. The less you ask of them, the faster you get what you need.

4. Automate the follow-up

Reminders are necessary, but they shouldn’t come from you. Manual follow-up is repetitive, easy to forget during your busiest weeks, and quietly strains the relationship. Set a reminder cadence once and let it run: polite, timed nudges that stop the moment a document arrives.

5. Reuse your checklist every season

Most of your requests are the same from client to client. Build a standard individual-return checklist once, then reuse it for every new engagement in a single click. You stop reinventing the list and start the clock sooner.
