Privacy policy

This policy covers the CoyaDocs website (coyadocs.com) and our early access waitlist. It's written in plain language on purpose. When the CoyaDocs application launches, we'll publish a separate, more detailed policy covering how the product itself handles your firm's data and your clients' documents.

Who we are

CoyaDocs is client document collection software for professional services firms. You can reach us anytime at hello@coyadocs.com.

What we collect, and why

  • Waitlist sign-ups. When you request early access we collect your email address, and optionally your name, your firm type and a note about how you collect documents today. We use this to send you your invite and, only if you've ticked the consent box, occasional product updates.
  • Email you send us. If you write to us, we keep the correspondence so we can actually help you.
  • Anonymous site analytics. We use Plausible, a privacy-friendly analytics tool, to count visits in aggregate. It uses no cookies and collects no personal information, so there is nothing to consent to and no banner to click away.

We don't run invasive tracking, we don't sell personal information to anyone, and we never use your information to train AI models.

Consent and email

We follow CASL, Canada's anti-spam law. We only send you marketing email if you've explicitly opted in, every email includes a working unsubscribe link, and unsubscribing takes one click. If you change your mind at any point, that's completely fine.

Where your information lives

Our infrastructure runs in Canada, on AWS Canada (Central) in Montreal. Waitlist information is stored there, encrypted in transit and at rest.

How long we keep it

We keep waitlist information until you ask us to remove it or until it's no longer needed for the launch. If you unsubscribe, we keep the minimum needed to honour the unsubscribe itself.

Your rights

In line with PIPEDA, Canada's federal privacy law, you can ask us at any time to show you the personal information we hold about you, correct it, or delete it. Email hello@coyadocs.com and we'll sort it out promptly. If you're not satisfied with our answer, you can contact the Office of the Privacy Commissioner of Canada.

Changes to this policy

If we change this policy, we'll update this page and the date at the top. If a change meaningfully affects how we handle your information, we'll tell you directly.
